What should be discussed during a medical-office cleaning walkthrough?

A medical-office walkthrough is a conversation about how each space is used, what needs cleaning and who is responsible for it. The layout gives us a starting point; the practice’s instructions help us understand the work.

At Aqua, we discuss clinical and nonclinical areas separately so the agreed scope is clear to the facility and the cleaners assigned to it.

Explain what happens in each area

What kind of practice is it? Which rooms are used for examinations or procedures? Which are administrative, waiting or staff areas?

We look at room sizes, crowded spaces, bathrooms, foot traffic and floor surfaces. We also ask what you expect us to clean and disinfect in each area. That room-by-room discussion helps identify details we could not determine just by looking around.

Define the surfaces and equipment within the scope

Identify the surfaces included in the cleaning service, equipment that must be left alone and tasks retained by clinical staff.

Our work is environmental cleaning. We do not sterilize surgical instruments, process medical devices or perform clinical duties. Any assigned cleaning of equipment surfaces needs a clear scope and the relevant care instructions. We tell our cleaners to leave an uncertain item and ask the owner before proceeding.

Discuss products and facility instructions

We ask which products the facility requires, who supplies them and what instructions apply. We can discuss recommendations while respecting your purchasing arrangements.

The general guidance helps explain why these details matter. CDC distinguishes cleaning—the removal of soil—from disinfection, which acts on disease-causing microorganisms on surfaces. Disinfection is not the same as sterilization. CDC definitions

EPA explains that a surface being disinfected must remain visibly wet for the product’s specified contact time. Product-label directions govern its use; the facility’s approval of a product does not replace those directions. EPA disinfectant guidance

CDC also identifies contaminated cleaning solutions, cloths and mop heads as possible ways microorganisms can be carried to other surfaces. This is one reason to discuss how cleaning materials are managed between areas. CDC environmental services guidance

Within Aqua, our owner’s nursing background informs how she explains these issues during training. We work through the facility’s instructions in the actual rooms, including product use and which items should not be touched.

Make waste responsibilities explicit

Ask which waste the cleaning team will remove and who handles sharps and other regulated waste. OSHA’s Bloodborne Pathogens standard defines regulated waste, including contaminated sharps, and sets specific containment and handling requirements. These responsibilities need more detail than a general “remove trash” instruction. OSHA standard

For Aqua, we establish the waste responsibilities with the facility as part of the scope. A routine waste-removal task should not be read as including sharps or regulated-waste handling.

Clarify surgery-center timing and access

Where terminal cleaning is included in our surgery-center contract, we perform the agreed environmental cleaning at night after the day’s procedures. Our service does not include between-case cleaning. The Surgery Center and Terminal Cleaning page addresses that service in more detail.

We normally arrive after the facility has closed and everyone has left. The facility provides access and instructions for alarms and securing the building afterward. If operations run unusually late, we adjust our arrival for later that night.

Connect the walkthrough to the work

The agreed responsibilities inform both the proposal and our on-site training. Our owner initially works alongside the cleaners, shows them the tasks and exclusions, and checks their understanding and work.
